Write a letter requesting a few booklets that explain how college students can apply for
scholarships to study abroad. Address the letter to Nancy Reibold, the executive director of the
Global Initiative Center at 1012 Third Avenue, New York, NY 10021. You learned about this booklet
when you were surfing the Web and came upon the Global Initiative Center Web site.

Response Letter
Assume that you are Nancy Reibold, and you received the request for the booklet. You are out of
copies at the moment, however, because you have received more requests than anticipated. You
expect to receive more copies within two weeks. Write a response to the inquiry, explaining these
circumstances. Tell the reader that you will send the booklet, titled, “Study Abroad,” as soon as
you can—and offer the alternative of downloading a document that you will make available at your
Web site.

Complaint Letter

You are Nancy Reibold’s assistant at the Global Initiative Center, and both you and Nancy are
angry. You have just received 10,000 copies of the booklet from the Jones Printing Company,
105 East Summit Street, New Brunswick, NJ 08910. When you opened the carton, you discovered
each booklet is missing several pages. This printing is the second one to contain a mistake made
by Jones Printing, and the shipment is late as well, even though Robert Mason, the sales
representative, had promised that you would have no problems this time. Nancy Reibold wants to
“get this problem corrected immediately.” Write a complaint letter to Robert Mason for Ms. Reibold
to sign.

Adjustment Letter
Assume that you are Robert Mason. You have received the complaint letter about the printing
mistake. After checking, you discover that the booklets sent to the Global Initiative Center had
been subcontracted to another printing firm (ILM Printing Company) because of the backlog at
Jones. You know that Jones Printing will not be billed for the booklets if you return them to
ILM Printing within five working days. You decide that you must write an adjustment letter to
Ms. Reibold quickly, asking her to return the booklets.


Persuasive Memo
Assume that you are Robert Mason. Send a convincing, detailed memo to J. R. Jones, your boss
and president of Jones Printing, recommending that ILM Printing Company not be used for future
subcontracting work. Assume that Mr. Jones is reluctant to change subcontractors because of
personal ties to ILM Printing and the significant discount that it gives to Jones, so you will need to
be persuasive.

Grading Criteria

Formatting will count on this assignment. You may use a letterhead template, but make sure that
you edit it appropriately so all your design elements make sense for your rhetorical situation.

The rubric, including formatting standards, is listed in the syllabus. Your letters should include all
official parts (date, inside address, salutation, body, complimentary closing, signature, writer’s
signature block, end notations), and your memo should be formatted as a standard print memo. In
order to earn the highest possible grade, you should also create a letterhead to match the
scenario/organization for which you are writing. Avoid affectation in all your deliverables.

In addition to the correspondence deliverables, I want you to compose an audience and purpose
statement for each one. Write me a memo that lists these statements.
Put all four letters and memo into one PDF file.

 Typed. Type and present all out-of-class assignments on good-quality paper. Handwritten memos, letters, and reports are not acceptable in a professional or academic setting. Clean. Appearance and format will count toward your grade.

The proper use of headers, white space, margins, and other visual devices all contribute to readability and accessibility of information, and skillfully handling them is extremely important. Error-free.

Simple mechanical and grammatical accuracy is necessary. Nothing destroys an author’s credibility faster than spelling or grammatical errors. Audience-appropriate. Readability, style, and tone chosen for clarity of expression and suitable to the target audience will play a significant role in determining the grade on assignments.

 

Purposeful and well supported. Whether you set out to explain, analyze, or persuade, your work should have a clear purpose that is supported by appropriate facts and details. Visuals should be incorporated where useful, and research should be properly documented.
